Planning a corporate event can be a challenge. There are so many things to consider – from the size and location of the venue to the little, often overlooked details such as how to handle parking or making sure you have enough chairs. If the responsibility of planning a corporate event has fallen on your shoulders, it doesn’t need to be a daunting task. A successful event comes down to choosing the right location and plenty of planning.

But, where should you start when it comes to choosing a corporate event venue? You probably already know your budget and have an estimate of the number of people who will be attending. However, there’s a lot more to choosing the right place than just finding one with the right size accommodation. Here are some things to consider as well as a few important tips.

Venue Atmosphere

The first step in narrowing down your search for the right corporate event venue is to think about the feeling or vibe you want it to have. Are you looking for a place that resonates as “corporate”, “upscale”, or “formal”, or would a site that’s relaxed and low-key fit better with your group? Depending on your event’s objectives, don’t be afraid to think outside the box when it comes to venues. Hotels are a popular and widely available option, but they sometimes lack the inspiration or intimacy that can make for a truly memorable event.

Proximity

The next main factor to consider when choosing your corporate event venue is the location – specifically, its proximity to places of importance. But, what are places of importance? This answer will be different for every group and event. For instance, if you’re going to be having several people fly in from another location, you might want to find a venue that’s close to the airport. If you’re planning an overnight event, you’ll want to make sure that your event venue is close to lodging.

Keep in mind that, depending on the goal of your event, you may choose to look for venues that are more secluded and away from distractions. In this case, not being close to other places might be your ultimate goal.

Parking

This is important if you’re going to have people driving to the event venue – and especially if you have a large number that will be needing a place to park. For event venues located in “downtown” areas, it can be difficult and costly for your attendees to find a place to park their vehicles. You should also take into account the weather, how far they’ll have to walk, and the general safety of the area in which they’ll be parking. The ideal situation is to find a venue with a large, dedicated parking lot, but some places won’t have this luxury. The next best thing is to find a place that’s next to a parking garage or close to public transportation so they can leave their vehicles behind.

Get a List of Available Services and Amenities

When it comes to finding the right corporate event venue for your needs, remember that every place is different with regard to what they offer and what’s available if you just know to ask for it. Before you sign a contract, make sure to get a list of everything that’s included in the fee you are paying along with the specifics of what’s allowed and not allowed. For example, some venues may not allow alcohol on the property. Or, if they do, you might be limited to certain items or be required to use their bartending service.

Know what kind of event venue you’re looking for before you being your search. Do you want just a location to hold a short meeting, or do you need an event venue that also provides food, beverages, and equipment for one package price? Working with a venue that offers packages can make your planning experience much easier, but you might have to compromise customizability for convenience. That is, unless the venue allows you to make adjustments or pick and choose the things you want. If that’s the case, just make sure that you know the limitations and how much extra it will cost you to go outside of the standard package.

Take a Tour Before You Book

Think you’ve found the perfect place that checks all of the boxes? Before booking a corporate event venue, make every effort to take a tour of the facility before you sign on the dotted line. That way you have a chance to ask more questions, meet the person who will be helping you plan your event, and see what the space looks like in person.
